Terms of Service
Last updated: 25 October 2026
These terms are an agreement between PCP Software Solutions Ltd (company number 10937923, registered office Church View, Mellor Lane, Mellor, Blackburn, Lancashire, BB2 7JR, England) ("we") and the organisation that signs up for Meeting Manager ("you"). Meeting Manager is for business use only, so consumer protection law for individuals does not apply. The person accepting these terms confirms they can bind the organisation.
1. The service
Meeting Manager is an online service for running recurring meetings, recording notes and tracking actions. We may improve and change features. We will not make changes that materially reduce the core service during a paid period without telling you first.
2. Free trial
New organisations get a free trial of one month (30 days). No card is needed to start. At the end of the trial, the workspace becomes read-only until a plan is chosen. If no plan is chosen within 30 days of the trial ending, the workspace and its data are deleted.
3. Plans, payment and renewal
- The price is £49 per organisation per month, or £490 per year (two months free). We are not registered for VAT, so no VAT is added.
- Each subscription includes up to 25 users, 25 departments, 5 GB of file storage, 50 AI meeting wrap-ups and 10 hours of voice dictation a month. Meetings and actions are unlimited. If you need more, contact us and we will agree a larger plan.
- Payment is taken in advance by Stripe. Subscriptions renew automatically at the end of each period until cancelled.
- We may change prices with at least 30 days' notice by email. The new price applies from your next renewal.
- If a payment fails, we will email you and retry. After 7 days the workspace becomes read-only until payment succeeds.
4. Cancelling
You can cancel at any time by emailing hello@meeting-manager.co.uk, or from Settings once billing is available there. Cancellation takes effect at the end of the current paid period. We do not refund part periods, except where the law requires it. After the period ends, the workspace is read-only for 30 days, and is then deleted. During those 30 days you can ask us for an export of your data.
5. Your responsibilities
- Keep sign-in details secure, and remove users who leave your organisation.
- Make sure you have the right to put the data you add into Meeting Manager, including staff personal data.
- Do not use the service to send spam, break the law, or attempt to access other organisations' data or disrupt the service.
6. Your data
You own your data. We process it only to provide the service, as set out in our Privacy Policy and the Data Processing Agreement, which forms part of these terms. While your workspace is active or read-only, you can ask us for an export of your data (meetings, notes and actions) in a common file format, free of charge.
7. Availability and support
We aim to keep the service available at all times, but we do not guarantee it will be uninterrupted. Support is by email at hello@meeting-manager.co.uk during UK business hours.
8. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else that cannot be limited by law. Otherwise, our total liability in any 12 months is limited to the fees you paid in that period. We are not liable for indirect or consequential loss, or for loss of profit or business.
9. Suspension and ending
We may suspend or end an account that breaks section 5, or that is unpaid as described above. Where we can, we will give notice first. Either side may end the agreement if the other materially breaches it and does not fix the breach within 30 days of notice.
10. General
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If any part is found unenforceable, the rest still applies.
